Time tracking

Task time logging and team workload

Hours are logged on the task, not in a separate spreadsheet: that is where the project time report and each assignee's load against their capacity come from.

A project without per-task time logging has an invoice and a hunch, not a record. In 4myprojects time is logged directly on the task: the hours worked, the day they were worked — retroactively too — and a short note. Every entry stays tied to its author and shows up in the project activity log. Two screens come out of it: the project time report, with the total broken down per member and per task, and the team workload page, which shows for each assignee how many tasks they hold, how many are past their due date, how many hours have been logged against them, and what that amounts to against their weekly capacity. Cost, rates and margin play no part — the system keeps durations, not money.

  • Per-task logging, with the day the work happened and a short note — retroactive entries included.
  • Every entry stays tied to its author and shows up in the project activity log.
  • Total logged hours on each task, summed in the time tab of its detail panel.
  • Project time report: the total hours broken down per member and per task, with the entry count.
  • Team workload per assignee: total tasks, to do, in progress, finished and overdue.
  • A load percentage computed from logged hours against the declared weekly capacity, highlighted above 100%.
  • A weekly capacity and a role declared on the project team members, shown alongside the workload.
  • Deleting an entry, or the task it sits on, clears its records too, leaving nothing orphaned.

What team workload means and how it is computed

The workload page groups tasks by assignee and shows, for each one, how many they hold in total, how many are to do, in progress, finished and past their due date, plus the hours logged against them. If you filled in a weekly capacity on that project's team member, a load percentage appears next to the figures, with a coloured bar and a highlight once it passes 100%; without a declared capacity the card says so explicitly and draws no bar. Two reading notes: the percentage is capped at 150%, so a large overload still displays as "150%", and hours logged on a task are added to the task's assignee rather than to the person who entered them.

The project time report

The report gathers every time entry on the project and presents it three ways: the overall total in minutes and hours, a breakdown per member — with each person's entry count, not just their total — and a breakdown per task, with the task key and title, ordered by time spent. Unlike the workload page, here hours are attributed to whoever logged them. The report is generated over the project's whole history: it has no date-range filter, so for one particular month you look at the entry list, which keeps the day of each entry.

How an entry is logged

Time is logged from the task detail panel, in its own tab: you enter the number of hours — decimals accepted with a comma too, as Romanian writes them — the day the work happened and, optionally, a note. The entry appears in the task list immediately, with its author and date, and the total above recalculates. A wrong entry is deleted and re-entered: editing an existing one does not exist, precisely so the history stays a sequence of facts rather than a rewritten text. Everything added also enters the project activity log, with the number of hours and the task they were logged against.

Working-time records: what project logging covers and what it does not

In Romania, the Labour Code (art. 119) obliges the employer to keep a daily record of the hours worked by each employee and to produce it on inspection, and in case C-55/18 the Court of Justice of the EU held that member states must require an objective, reliable and accessible system for measuring working time. Time logging in 4myprojects is not that system: it covers time spent on project tasks rather than all working time, and it has no timer, no billable flag, no approval flow, no rates, no notion of a client and no export. For full personnel time and attendance — shifts, presence, leave — the dedicated brand in the ecosystem is 4mystaff.net, a separate product.

Frequently asked questions

Can time be logged retroactively?

Yes. Every entry carries the day the work happened, and that day can be in the past. There is no period lock that would close an already-reported week.

Is there a timer started from the card?

No. Time is entered as a duration, in minutes, on the task, with the day and a note. There is no start-stop timer, neither server-side nor in the browser.

Is there a weekly timesheet approval?

No. An entry is recorded directly and can be deleted; there is no submission to a manager, no approval, no reasoned rejection and no locking of the week. What remains as a trace is the activity log, where every entry appears with author and date.

Are project cost and client margin computed?

No. The platform records durations, not values: there is no hourly rate applied to entries, no project cost derived from them, no margin and no notion of a client. The project does have a budget field, but logged hours are not converted into money.

Who can see a colleague's time entries?

The time report and the team workload are visible to anyone with access to the project in the panel; there are no separate financial roles that would restrict the reports. Keep that in mind when deciding who gets access to the workspace.

Does 4myprojects replace the HR timesheet?

No. It covers only time spent on project tasks and does not produce the daily record the Labour Code requires. For full personnel time and attendance — shifts, leave, presence — the dedicated brand in the ecosystem is 4mystaff.net.
